Research Admin Manager


 We are seeking an experienced and skilled Research Admin Manager under the supervision of the Principal Investigator in the School of Dentistry's Section of Biosystems and Function. The Research Admin Manager will have three (3) primary responsibilities:
1. Research Administration/PM: Demonstrated working knowledge of administrative and business practices and procedures; facilitate the proper management/oversight of research project coordination, lab orders, assignment of lab spaces to lab personnel, lab organization such as shelving and organizing research supplies and progress reports.

2. Assisting PI with Pre-award management: must demonstrate skill in research grant preparations and submissions, grant submissions with School's grant analyst and act as liaison to the Office of Contract & Grant Administration (OCGA).

3. Assisting PI with Post-award fund management: serve as the principal resource to PI regarding budget development, grant management, and must be able to define complex financial problems and propose plausible technical and organizational solutions to PI and act as liaison for fiscal management with the Finance Office, OCGA and Extramural Fund Management office (EFM). Strong knowledge and skills of UCLA Finance Systems are required.

Minimum 5 years of experience in research administration.

Working knowledge of procedures and protocols for recruiting and interviewing potential subjects.

Demonstrated organizational skills to manage interview schedules for research subjects.

Skill in using Microsoft Word, Excel and Powerpoint.

Demonstrated analytical and problem-solving skills to assess a given situation, define the essential components and make recommendations toward a resolution.

Ability to learn and follow research study protocols.

Required

Ability to understand ethical research issues and to maintain confidentiality of all information related to study participants.

Skill in keeping accurate records and managing detailed procedures, including petty cash handling experience for participant incentives and equipment management.

Skill in developing rapport with individuals from diverse ethnic/cultural backgrounds.

Required

Demonstrated mathematical skills to accurately compute budgets, including percentages, calculation of indirect/direct costs.

Required

Skill in working under time constraints to meet study time line through tracking/locating, scheduling, and problem solving when managing project cohorts.

Required

Experience interacting with OCGA, EFM, and Finance Office.

Demonstrated skill in determining what information is confidential and sensitive and handling the same with discretion.

Knowledge of computerized and written assessments for the funded research projects.

Knowledge professional and ethical standards for research, specific guidelines for research interviewers, and procedures specific to research protocols.

Strong working knowledge of NIH and other industry sponsored contracts and grants.

Demonstrated knowledge of University purchasing, material management, payroll, personnel and general accounting policies and procedures.

Experience with University Online Finance Systems including QDB and application for online downloading of expenses to review and generate reports and budgets; OASIS, PAC, PAC/GUI, PAMs, PANs, NPEAR, Bear's, TOF, and FS) and Payroll System (UCPath).
