The Department of Obstetrics, Gynecology and Women's Health is seeking an executive administrative assistant with a special combination of adva! nced administrative skills and professionalism to directly represent and support the Head of the Department and other faculty and staff at its multiple office locations. This highly visible and first point-of-contact position interacts with all levels of the organization and requires a high degree of professional communication and interpersonal skills. The work is both project and task based and requires excellent organization, prioritization, planning, attention-to-detail, and follow through skills. The successful candidate will need to understand departmental goals and structure, and exercise a high degree of independent judgment and decision making, acting with discretion and in accordance with established priorities.

Required Qualifications (MUST be mentioned on application/resume):

B.A. degree or a combination of education and relevant administrative experience to total 5 years.

Demonstrated experience providing skilled administrative support! to high-level management; experience in communicating and pro! viding service to all professional associates from the executive to the staff level; experience in preparing and/or incorporating complex reports, grant applications, slides and presentation materials; experience with ImageNow, Amion, Microsoft Office to include Microsoft Word, Excel, and Power Point and experience with managing an electronic calendar.

Preferred Qualifications: Demonstrated excellent communication skills; the proven ability to manage many projects simultaneously; excellent interpersonal skills; demonstrated superior attention to detail;

demonstrated experience providing academic medical administration support.

Duties/Responsibilities

Responsibilities include, but are not limited to:
Administrative support to department head and faculty (40%):
Provide administrative support for the Department Head and other faculty by assisting with scheduling/calendaring, correspondence, composing corresponden! ce, licensing, credentialing, travel, reimbursements, etc. Preparation of documents: Grant applications (NIH and foundations), PowerPoint presentations and posters, organizational charts, flyers, invitations, ABOG General and subspecialty caselists, membership applications, annual and quarterly reports.

Departmental Administrative Support (40%):
Provide administrative support for OB/GYN departmental committees: OB/GYN Faculty Meeting, OB/GYN Executive Council, OB/GYN Promotion and Tenure Committee, head of the department's weekly administrative meeting. Prepare and distribute meeting agendas and minutes. Provide administrative support for the Department's Annual Faculty Performance Review process as well as the Promotion and Tenure process: Data compilation (updated and formatted CV, mentor review forms, faculty review forms, teaching evaluations); Create time lines and checklists; Set up 1:1 meetings with mentors, division directors, department head. Pr! epare Promotion and Tenure dossiers. Provide administrative support for! departmental search and recruitment processes; Prepare itineraries, make travel and hotel arrangements, make lunch/dinner reservations, reimbursements. Prepare and route offer letters; Prepare abbreviated dossiers

Departmental projects and tasks (20%):
Image Now project lead/supervisor; Maintain and monitor departmental files management, record retention; Serve as Policies and Procedures Coordinator. General office: Communication via telephone, e-mail among faculty, university departments, coworkers, public. Provide backup to support staff; obtain reference materials electronically, establish and maintain manual and electronic files, faxing, scanning, equipment maintenance.

This appointment will be held in the Department of Obstetrics, Gynecology and Women's Health.
